12 Month School Administrative Assistant
Qualifications:
- Associate’s Degree, two years of college (60 credits) or equivalent experience as deemed appropriate by the Board of Education
- Demonstrate aptitude or competence for assigned responsibilities
Reports To: School Principal
General Description: To assist the Principal (and Assistant Principal, if applicable) with organization, recordkeeping, reporting and parent communication of the school office to ensure the smooth and efficient operation and obtain a positive impact on the education of children.
DUTIES AND RESPONSIBILITIES:
- Perform standard office routines.
- Maintain student records; both electronic and hardcopy cumulative files.
- Receive and route all incoming calls.
- Review Frontline Report for staff absences.
- Assist teachers in preparing instructional materials as requested.
- Greet and assist all visitors that enter the building.
- Maintain office machines and supplies for school machines.
- Schedule appointments, meetings and conferences.
- Perform various secretarial tasks including the operation of software programs, conference and professional day forms., business machines and record-keeping. Programs include but are not limited to: Munis, Powerschool, SchoolMint, Microsoft Office, etc...
- Conform to established safety standards.
- Ability to keep information confidential and maintain an ethical attitude.
- Ability to interpret, apply and explain instructions given orally and in writing.
- Ability to learn and apply procedures.
- Ability to communicate and work effectively with students and parents.
- Compose correspondence as necessary.
- Order supplies for the school office and staff members.
- Initiate requisitions for purchases.
- Responsible for maintaining required records for special activity accounts.
- Maintain ELL translation log.
- Ability to use Language Line.
- Enter ED166 report for student discipline.
- Prepare monthly enrollment report for the Superintendent's office.
- Organize and submit staff and substitute time cards for payroll.
- Primary contact for First Student; Keeping bus lists current.
- Receive and distribute all incoming mail and interdepartmental correspondence.
- Maintain Google calendar for school events.
- Assist with transportation requests for school field trips.
- Maintain Quickbooks for Student Activity Accounts; Submit reconciliation.
- Ensure student records are requested for all incoming students as well as mailing records for unenrolled students within the 10 day period as required by law.
